Synchronize SharePoint Online Lists and Libraries to SQL Server or SQL Azure

In this article we will look at the fastest way to Synchronize your SharePoint Online Lists and Libraries inc metadata with SQL Server Or SQL Azure.

It’s possible to your Synchronize entire SharePoint Online (or On-Prem) data to any version of SQL Server within about 10 minutes just by following the steps below:

1. Download a fully working version of SQList from here

2. Install SQList using these instructions (takes a couple of minutes)

3.  Follow Run SQList for the first time and install the licence

4. Follow the steps in the article Configure a SQList replication and export SharePoint lists to SQL Server

Once installed and configured SQList will :

  • Continuously exports SharePoint lists and documents to single or multiple SQL Server databases.
  • Dynamically builds a normalised set of SQL tables.
  • Export sub-sites automatically: export lists and libraries from a SharePoint site and its sub-sites in a single replication.
  • Union view: SQList can automatically generate an aggregated SQL view of similar lists and libraries across a site structure.
  • Quick setup with granular selection of lists, libraries, and sites to export.
  • Can be installed anywhere and does not require any changes to SharePoint.
  • You only need one license to export data from different SharePoint servers.
  • Uses standard SQL and HTTP connections and can connect via local network or the Internet.
  • No need to map tables and columns, SQList will do that for you.
  • No list view threshold issues, SQList uses native SharePoint change tracking capabilities which negates the requirement to add indexes to columns or to increase that pesky list view threshold.
  • Expose your SharePoint data to SQL Server Reporting Services (SSRS).
  • Supports all versions of SharePoint including SharePoint Online.
  • Supports all versions of SQL Server including SQL Azure.

What’ is the easiest way to extract SharePoint list or library data to a separate SQL Server table?

We reckon by far the easiest way to get list or library data (and it’s associated binary objects, if required) out of SharePoint On-Prem or SharePoint Online  and into SQL Server is as follows:

1. Download SQList from here

2. Install SQList using these instructions (takes a couple of minutes)

3. Run SQList for the first time and install the licence

If you don’t have any replication defined, SQList Manager will prompt you so start the wizard to create one:

Using SSIS to Export Lists from SharePoint to SQL Server – An Alternative Approach

If you are looking at exporting SharePoint List data to SQL server then one of the most common approaches is to use SQL Server Integration Services or SSIS to get the job done the steps are something like:

THIS IS A LONG AND PAINFUL PROCESS!

What’s more you will need to make changes every time your SharePoint list schema changes.
THERE MUST BE AN EASIER WAY? YES THERE IS!
What if I could show you how to set up continuous export of SharePoint list and library data including all blobs and attachments from MULTIPLE SharePoint lists and libraries in 5-10 minutes?  What if I told you this could also keep the SharePoint lists and library schemas up to date in sql server in normalised SQL Server database tables.
Take a look at AxioWorks SQList which is a lightweight windows service that requires no changes to your SharePoint infrastructure. It works with SharePoint 2007, 2010, 2013 and SharePoint online in Office365.  It will selectively replicate lists and libraries in a SharePoint site as a set of normalised tables to any SQL Server database.
Below is a demo of how you can get your SharePoint lists, libraries, files and attachment into normalised sql server databases and continuously replicate them in just a few minutes:
